The Challenge
What initially sounded like a straightforward lead management system quickly turned into a complex project once the details were uncovered. M Capital, a Lithuanian financial consultancy and intermediary of Compensa Life Vienna Insurance Group SE, needed a platform capable of managing over 24,000 clients and supporting a unique working structure.
The company runs regular financial education seminars where both new and existing clients sign up. This created a need for the software to distinguish between new and returning clients, connect them with the correct administrator, and feed the information back into the CRM.
M Capital operates with around 400 independent contractors, in a structure similar to MLM. Each contractor works on assigned leads, but if a lead was not actioned within a certain period, the system had to automatically reassign it to another contractor. This required advanced filtering, sophisticated data logic, and detailed performance tracking. Beyond contact management, the system also had to provide insights into lead sources, user journeys, and contractor performance, making reporting and accountability central to the platform.
Our Solution
We built a bespoke CRM and data management platform tailored to M Capital’s operations. At the heart of the system was a custom data importer designed with intelligent logic to identify existing clients, separate them from new ones, and assign them correctly within the organisation’s structure.
The CRM supported bespoke lead and client management journeys, guiding users through predefined steps and capturing performance at every stage. Automated rules ensured that inactive leads were reassigned to other contractors, preventing opportunities from being lost.
We also developed custom reporting dashboards that allowed administrators to monitor lead sources, client journeys, and individual contractor performance in real time. This gave management a clear view of which campaigns and contractors were delivering results, and which areas needed attention.
The Results
The new system transformed how M Capital handles its client base and independent contractors. Leads from seminars are now imported automatically, filtered with precision, and distributed to the correct users without manual effort. Existing clients are recognised and linked to the right records, ensuring data consistency across the entire organisation.
Contractors have clear lead management journeys to follow, while administrators gain visibility through detailed reporting on lead sources, client activity, and member performance. The automatic reassignment of inactive leads ensures no opportunities are wasted, and the entire workflow is more efficient, transparent, and scalable.
For M Capital, the CRM has become a core business tool — enabling smarter decision-making, reducing administrative complexity, and strengthening the link between education, client acquisition, and financial services delivery.
